Senior Tender Executive (ICT & Telecommunications)

Monthly salary: RM5,000–RM12,000, depending on relevant experience and capability.

ABOUT THE ROLE

Ventrade Technology is hiring an experienced Senior Tender Executive to independently manage complete IT, ICT and telecommunications tenders, from opportunity review and tender planning through technical and financial preparation, final compliance checks, submission and post-submission clarification.

You will take responsibility for the entire tender process and the completeness and compliance of each submission. This includes managing tender portals, coordinating and checking inputs from engineers, suppliers and principals, and obtaining management approval for pricing and commercial commitments.

YOUR RESPONSIBILITIES

• Review tender documents and addenda yourself. Build a compliance matrix covering eligibility, mandatory documents, technical and commercial requirements, briefing dates and submission rules. Identify gaps and disqualification risks early and follow them through to resolution.

• Compile complete technical and financial submissions: compliance responses, product information, supplier quotations, bills of quantities, pricing schedules, certificates and supporting letters.

• Independently audit the final submission against the tender requirements. Check consistency across documents, quantities and calculations, certificate validity, signatures, approvals and the latest amendments; resolve discrepancies before submission.

• Manage ePerolehan and other relevant tender portals, keeping company profiles, registrations, certificates and access permissions current. Identify additional relevant platforms and coordinate approved registrations and opportunity monitoring.

• Complete authorised online or physical submissions by the deadline, verify successful delivery and retain submission receipts. Track clarifications and coordinate responses.

• Maintain secure, organised tender records: naming conventions, version control, controlled access, confidential pricing and supplier information, approved final files, correspondence and an accessible archive for handover and future reference.

WHAT WE ARE LOOKING FOR

• Several years of relevant tender experience, including hands-on ICT, telecommunications or related technology projects, with personal responsibility for both technical and financial documentation and final submission.

• Ability to identify missing or non-compliant content independently and coordinate the inputs needed to complete a bid.

• Practical ePerolehan or comparable tender portal experience, strong Word, Excel and PDF skills, numerical accuracy and reliable deadline management.

• Working proficiency in Bahasa Malaysia, English and Mandarin for tender-related documentation and communication.

• A completed Bachelor's degree or higher is required. Diploma, certificate or secondary-school qualifications alone do not meet the minimum requirement. Please state your degree, awarding institution and graduation year in your CV.

Demonstrated ownership of complete tender submissions is essential. Experience independently preparing government grant applications is an advantage.
